Kurtis O'Dea Studios ("we", "us", "our") is a photography and video production studio based in Saanich / Victoria, British Columbia, serving Vancouver Island and Vancouver. This policy explains what personal information we collect, how we use it, and the choices you have. We follow British Columbia's Personal Information Protection Act (PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information we collect
- Information you give us: when you contact us, request a quote, book a session, or fill out a form on our website, on Facebook or Instagram (including Meta lead forms), or by email or phone, we may collect your name, email address, phone number, company or organization, event date, event location, number of guests, budget and any details you choose to share about your event or project.
- Booking and payment information: when you book through our booking site (order.kurtisodeastudios.com), we collect the details needed to schedule and deliver your order. Payments are processed by our third-party payment provider; we do not store full credit card numbers.
- Website usage information: like most websites, we automatically collect basic technical data such as your IP address, browser type, device, pages visited and how you arrived at our site. We use cookies and similar technologies, including Google Analytics and the Meta (Facebook) Pixel, to understand how our site is used and to measure and improve our advertising.
- Photos and video: as part of our services we capture images and footage of you, your guests or your property.
2. How we use your information
- To respond to your inquiries and send quotes.
- To schedule, deliver and follow up on the services you book.
- To send you invoices, gallery links and service-related messages.
- To improve our website, services and advertising, including showing relevant ads on platforms such as Facebook, Instagram and Google.
- To send occasional news or offers, only where you have agreed to receive them. You can unsubscribe at any time.
- To meet legal, tax and accounting obligations.
3. Use of photos and video
We may use selected images or footage from your session or event in our portfolio, website and social media, unless you tell us in writing (before or after your session) that you would prefer we don't. Any specific terms in your client contract take priority over this section.
4. How we share information
We do not sell your personal information. We only share it with service providers who help us run our business, such as website hosting (GoDaddy), email (Google and Microsoft), booking and payment providers, cloud storage and gallery delivery services, and advertising and analytics platforms (Meta and Google). These providers may store or process information outside Canada, including in the United States, and it may be subject to the laws of those countries. We may also disclose information when required by law.
5. Cookies and advertising choices
You can block or delete cookies in your browser settings. You can opt out of Google Analytics at tools.google.com/dlpage/gaoptout and manage ad preferences in your Facebook and Instagram settings (Settings > Ad preferences) or at youradchoices.ca.
6. How long we keep information
We keep inquiry and client information only as long as needed for the purposes above, or as required by law (for example, tax records). Client galleries and raw files are kept according to the timelines in your contract.
7. Security
We take reasonable steps to protect your personal information from loss, misuse and unauthorized access, including password-protected accounts and secure third-party platforms. No method of transmission or storage is completely secure.
8. Your rights
You may ask to access the personal information we hold about you, ask us to correct it, or withdraw your consent to our use of it (subject to legal or contractual limits). To make a request, contact us using the details below. We will respond within 30 days.
9. Children
Our website and services are not directed at children under 13, and we do not knowingly collect their personal information online.
10. Changes to this policy
We may update this policy from time to time. The "Last updated" date above shows when it was last changed.
